This policy sets out what personal information we collect when you contact us or when we carry out work for you, why we collect it, how long we keep it and what you can ask us to do with it. It is written for this business rather than taken from a template, so it describes the information we actually hold and not a list of things we do not do.

We install and replace rooflights, roof windows, lanterns, walk on glass and sun tunnels across Worthing and West Sussex, and we are the data controller for the information described here.

What we collect when you enquire
What you tell us, and no more.
Your name, the way you would like us to reply, the address of the property, and a description of what you need, which frequently includes photographs of a roof or a ceiling.
Photographs
Treated as part of the enquiry. Pictures of a roof, a rooflight or a room are held with the enquiry they came with, and they are not published or used anywhere else without asking you first.
What we collect at survey
Measurements and observations about the property. Dimensions, the covering type, the structure, the access conditions and photographs of the position, which together are what a quotation is built from.
What we collect if you go ahead
What is needed to do the work and be paid for it.
Contact details, the property address, the agreed specification, dates, and the payment record for the invoice.
Why we hold it
To answer you and to carry out the work.
An enquiry cannot be answered without a way to reply, a quotation cannot be produced without the property details, and work cannot be done without an address.
The lawful basis
Contract, and legitimate interests. Where we are quoting for or carrying out work, we hold the information to perform that contract or to take steps before entering into one. Where you have simply asked a question, we hold it because it is necessary to reply to you.
Legal obligations
Records we are required to keep. Invoices and accounting records are retained for the period required by tax law, whatever else this policy says about deletion.
Who else sees it
Only where the work requires it. Suppliers receive the size and specification of a unit so it can be manufactured, and Building Control receive the details of notifiable work. Neither receives more than the job requires.
What we never do
Sell it, or pass it to anybody marketing to you.
Your details are not sold, rented, shared with lead generation services, or passed to any other trade for their own purposes.
Marketing
We do not run a mailing list.
If we contact you after a job it is about that job, and we do not add enquirers to any list for periodic marketing.
How long we keep it
Different periods for different things. An enquiry that goes no further is kept for a limited period and then deleted. Job records are kept for the life of the guarantee, because a claim years later needs the specification of what was fitted.
Why job records are kept for so long
Because the guarantee is ten years. A seal, a pane or a part ordered years later is identified from what was installed, and a claim cannot be assessed without the record of the work.

Where it is kept
On business systems, secured. Records are held on password protected devices and accounts with access limited to the people who need them for the work.
This website
Collects what you send it. Where there is a form, the information you type into it reaches us as an email. What else the site stores is set out on the cookie policy page.
Your rights
Set out in law and exercised by asking.
You can ask what we hold about you, ask for it to be corrected, ask for it to be deleted, object to how we use it, or ask for a copy in a portable form.
How to exercise them
Email or telephone us. There is no form to complete. We will confirm what we hold and act on a request within the period the law allows, which is generally one month.
Where deletion is limited
Records we are obliged to keep. We cannot delete accounting records within their statutory retention period, and we will say plainly which records those are if the situation arises.
Complaining about how we handle it
Tell us first, then the regulator. We would rather put something right ourselves, and if you are not satisfied you have the right to complain to the Information Commissioner’s Office.
Changes to this policy
Dated when they are made. If what we collect or how long we keep it changes, this page is updated rather than quietly amended elsewhere.
Children
Not a group we collect information about.
This is a service for property owners, and we neither market to nor knowingly hold information about children.
Automated decisions
None are made. Quotations are produced by a person who has looked at a roof, and nothing about you is processed by an automated system to reach a decision.
Transfers outside the United Kingdom
Not something we do deliberately.
The work is local and the records are held here, and where a business service we use stores data elsewhere we expect it to be subject to appropriate safeguards.
If something is unclear
Ask, and we will answer plainly. A policy that nobody can understand is not doing its job, and a question about it is not an unusual thing to receive.
